just-medical! Digitalised Its Processes with Odoo and Thus Eliminated Manual Errors

At the beginning of 2024, just-medical! acquired Medinside, the leading news portal for the healthcare sector in Switzerland.

Initial situation, customer request, and goal

Before implementing Odoo, just-medical! struggled with various problems:

  • Lack of digitalisation: Numerous manual and decentralised processes.
  • Lack of a financial accounting system: Manually entered data led to errors in quotations, invoices, and sequencing. Also, there was no centralised financial accounting system, which made financial reporting difficult.
  • Inefficient project management: It was difficult for just-medical! to keep track of project progress. Handovers in the event of holidays or illness were time-consuming and lacked important information or the customer's view.
  • Inadequate HR management: Absence management, contracts, and resource planning were not organised effectively, and documents were stored locally and had to be maintained manually.

just-medical! wanted to comprehensively digitalise its processes in order to work more efficiently, reduce decentralised data silos and, above all, eliminate the error-prone nature of manual processes.

The challenge

Before a system could be chosen and customised to the company's needs, the processes, especially the sales process, had to be structured.

The solutions

W4 evaluated which open source system could cover all the desired points. Odoo offered just-medical! the perfect platform for all of their needs:

  • Structured sales process: Firstly, W4 restructured the sales process, starting at the first touchpoint with the initial contact, going all the way until contract conclusion. A special, multi-stage approval process, which we then integrated into Odoo, ensures that only approved offers can be sent to prospects.
  • Next-level project management: Centralised project management in Odoo now enables real-time tracking of project progress, reduces manual errors, and allows projects to be continued without delay if project managers are absent.
  • Customised sprint planning: A customised Agile app enables the optimal planning and execution of sprints according to the SCRUM principle.
  • Efficient HR management: Absence management, contracts, and resource planning are done in Odoo now.
  • Error-free accounting: Automated data entry eliminates manual errors, such as invoice number duplicates, and ensures accounting accuracy.
  • Comprehensive dashboards: Real-time dashboards provide an overview of all key business metrics.

As a plus, all of this could have been realised with Odoo's free community edition. Although this basic version contains fewer functions than the paid version, customised development work has resulted in an excellent and individualised solution for just-medical!

Outstanding results
